Reception Duties:

-To ensure the smooth running of reception at all times

-Be the first point of contact for the company, greeting all visitors, controlling their access and coordinating their meetings

-Answer all incoming calls and direct to the correct person/department

-Manage and distribute incoming and out coming post daily

-Send out international and domestic shipments though couriers daily and advise sender of shipping details. Liaise with couriers as necessary

-Responsible for signing for deliveries, and notify the correct person in the office. Distribute as required

-Create and keep a reception manual up to date

-Work with facilities manager, suppliers and service providers to arranger ordinary and emergency repairs

-Ensure that all communal areas are tidy and presentable at all times (meeting rooms, photocopier areas and reception)

-Arrange taxis when necessary

-Support finance in receiving office supplies invoices on time

-Arranging catering for internal meetings as necessary

-Support to Facilities manager

-Other support or administration tasks for head office, as required.

Facilities duties:

-Assist on facilities projects when necessary in ensuring smooth running of the company offices

-Liaise with Logistics company to coordinate if necessary

-Work with the Facilities manager to plan and coordinate and all maintenance services

-To order specialist stationery items for the office as and when required.

-Manage all photocopier queries from logging and following up on callouts and maintaining adequate supplies

-Other support or administration tasks for Head Office, as required.


Requirements: -Minimum 3 years of experiencie in similar role. -Languages: English C1 level, French B1 level. -Technical skills: Microsoft Office: Excel, Word, PPT (intermediate level). -Proven reception or admin experience in a fast paced environment -Very organised with the ability to multi-task Job competences: -Results Orientation -Flexibility -Planning and Organizing -Attention to Detail -Teamwork
